The Senior Benefits Specialist is responsible for daily administration of benefit programs in a manner supporting company culture and ensuring policy and statutory compliance with governing agencies. Provide employee support regarding interpretation of benefit policies and benefit plan coverage.


  • Responsible for the administration/payment of Short-term Disability benefits.   Works directly with the Benefits Manager and Disability vendor to seek approval of all payments.  Tracking payments for payroll entry and auditing changes in the payroll system.
  • In partnership with Disability Vendor, ensure proper tracking and communication to line managers regarding all leave of absences.
  • Responsible for the oversight of workers compensation for Corporate, Hanover, Retail locations (US and Puerto Rico) which include but not limited to: providing necessary information for annual renewal, assisting and enabling managers on the workers compensation process, acting as the liaison between vendor and managers, providing education/insight on safety issues, ensuring compliance which includes required posting, maintaining OSHA logs, year-end reporting, and representing HR at quarterly claims review.
  • Responsible for weekly/monthly processing of Defined Contribution (401k) employee deferrals and loans.  Processes reports on the vendor’s client support website to capture new participant’s deferrals and changes to current participant deferrals.  Also, process reports to capture participant loans both new and re-amortized.  Process information in the payroll system to reflect requested participant transactions. 
  • Assist, in partnership with the retirement vendor, with the annual Non-Discrimination Testing of Defined Contribution 401k and 1165e plans.
  • Responsible for the oversight and administration of the ancillary benefit programs: Ensures compliance with federal and state laws.  Reviews all applications and forms to ensure requests meet plan qualifications.  Uses own judgment to approve requests based on past practices. 
  • Responsible for upholding the highest level of integrity for respecting employee’s private medical information as required by the requirements of the Health Insurance Portability and Accountability Act (HIPAA) and applicable state laws. Assists in the identification, implementation and maintenance of privacy policies and procedures in coordination with the Benefits Manager and Legal Counsel. Ensures HIPAA legal documentation requirements are met.  Respond to employee questions concerning their rights under HIPAA.  Coordinates HIPAA compliance with other state and federal laws involving regulations under the Americans with Disabilities Act (ADA), Family and Medical Leave Act (FMLA), Employee Retirement Income Security Act (ERISA), and worker’s compensation.
  • Responsible for the oversight and administration of weekly/monthly processing of Flexible Spending (Medical & Dependent Care) payroll deduction files to be provided to vendor. Independently reviews all information for accuracy auditing against payroll reports to ensure program runs properly and participants do not experience disruption of benefits.  Resolves discrepancies using independent judgment based on existing policies and past practices.
  • Responsible for the processing of monthly premiums for the Health and Welfare Benefits. (Medical US & Puerto Rico, Dental, Life & Disability, Vision Benefits) Reviewing, analyzing, and approving payments.  This includes running reports from ADP Reporting (H&W Portal) to ensure vendor accuracy.  Works with vendor to correct any discrepancies.
  • Responsible for the oversight and administration of the COBRA program (continuation of healthcare coverage for former plan participants).  Ensure all required notices and administration is compliant and meets all federal requirements.  Provide expertise and guidance to former plan participants as required. 
  • Assist with the Annual Health & Welfare Open Enrollment:  Understand plan design and changes to assist employees with Health & Welfare plan options.  Provide input on communications provided to employees based on employee interaction.  Provide support to ensure all communication and relevant information reaches participants.
  • Audit the current systems to ensure accuracy, audit the claims, to look for trends, and report appropriately and audits monthly invoices to ensure proper enrollment is accounted for.
  • Backup benefits specialists when neede,d share responsibility for benefits email box and phone line.
  • Assist with any projects required by the Benefits Team.  This involves but not limited to, Wellness Incentives, Defined Contribution Education, and Education of ancillary benefit programs. 
  • Processes all benefit forms to ensure resolution for Clarks employees and their families.


  • Bachelor’s Degree in Human Resources or related field preferred.
  • PHR Certificate preferred
  • Understanding of Healthcare plan design
  • Knowledge of compliance required for healthcare
  • 4-6 years of experience working in employee benefit plans
  • Administration of company leave of absences and federal/local leave laws
  • Communicate/educate employee benefits
  • Administration of company retirement plans
  • Knowledge of Canadian benefit programs
  • Process invoices accurately and identify/address any concerns
  • Work with a team and contribute to team success
  • Excellent customer service skills
  • Excellent Microsoft Office Skills, including Excel and Word
  • Strong communication skill
  • Knowledge of ADP Enterprise Version 5
